Document Retention & Deletion

Our default is to keep claim information only as long as it serves the customer, the engagement, or a legitimate legal and operational need.

1. What this policy covers

This policy applies to claim documents, photographs, intake data, reports, correspondence, partner records, consent records, and related information maintained by DValue360. Third-party providers may maintain limited records under their own retention duties and our service agreements.

2. Standard retention schedule

These are maximum standard periods, not promises that every record will be kept for the full period. We may delete or de-identify information sooner when it is no longer needed.

3. Exceptions

We may preserve information longer when reasonably necessary for an active engagement, legal hold, subpoena, regulatory inquiry, audit, tax duty, chargeback, fraud or security investigation, unresolved dispute, enforcement of an agreement, or the establishment or defense of legal claims. When an exception ends, the standard deletion process resumes.

4. Requesting deletion

Email claims@dvalue360.com with the subject "Deletion Request" and include enough information to locate the file. We may verify your identity and authority before acting. We will acknowledge a verified request and generally complete eligible deletion within 30 days, although complex requests or legal restrictions may require additional time.

We may retain a minimal record that a request was made and completed. Deletion from active systems does not immediately remove information from disaster-recovery backups; backup copies are isolated from ordinary use and expire through the routine cycle stated above.

5. Secure disposal

Electronic records are deleted, overwritten, de-identified, or made inaccessible using methods appropriate to the system and sensitivity of the data. Physical records, if any, are securely destroyed. DValue360 periodically reviews stored information and provider access as part of its information-management practices.

6. Before you submit

Upload only documents relevant to the requested service. Redact Social Security numbers, bank-account numbers, medical records, unrelated driver's-license information, and other sensitive content that DValue360 does not need. If you accidentally submit sensitive or unauthorized information, contact us promptly at claims@dvalue360.com or 240-441-1574.
